W-2 Tax Forms Processing

Processing and mailing W-2s is a once-a-year hassle that no one enjoys. Fortunately, you can save yourself time and headaches by outsourcing your W-2 processing to IBF Group.

When IBF processes your W-2s, you'll free up your staff to concentrate on more productive tasks. In addition, your employees will appreciate the convenience of our Web-based services and customer call center.

Select the Services that Meet Your Needs

Print & Mail: Our basic service includes the receiving, processing, printing, and mailing of W-2 statements.
Print, Insert, and Ship Only: Instead of mailing W-2 forms to employees, completed forms are inserted into security envelopes and shipped to you via UPS ground (unless otherwise requested).
Print Copies: IBF Group can print a copy of the forms and then ship them back to you. These copies can be used as a backup for your employees, or we can print state or locality prints that you can use for entities that do not yet accept electronic format.
CD-ROM: This archive tool allows you to search by name or SSN and then reprint the W-2 on any of your printers.
Custom Processing: IBF Group is also available for custom processing. Jobs may include merging multiple files, exporting to Excel spreadsheets, inserting a special notice, or printing a hard copy for a certain state or locality. Pricing is available on a job-by-job basis.
W-2 Call Center with Web Access: IBF Group now offers a dedicated call center and Web site to assist you with your reissues. Your employees can now access our site and submit a change of address for a reissue of the form without using any of your staff time.
E-W-2: Employees may now select to receive their W-2 electronically. They can sign-up online to receive a password-protected pdf file via e-mail, eliminating many of the printing and mailing costs.

How It Works

First, we'll need you to complete an order form so that we know which services you'll need. You can send the order form and your deposit to IBF Group at the address listed on the form.

If you're a new customer, we'll need to set up a test run. You'll transmit a test file to us, and we'll print samples for your approval. Although we sometimes make exceptions, W-2 tests should be completed by December 20.

We begin accepting live files for processing January 2. After we receive your file, we'll begin processing right away, and post your samples and totals to our secure website. When we receive your approval, we'll finish the job and mail forms as necessary. We complete most jobs within 24 to 48 hours after receiving the data.
